Orien has the capability to pull data from other systems into Orien's external Hierarchy. The article aims to provide guidance for the user interface and tools of the External Hierarchy. Currently, the External Hierarchy can pull data from SAP on Initialisation and through the Delta Processes. This includes:
- SAP Functional Locations
- SAP Equipment
- SAP Material
- SAP Work Centers
- SAP Measuring Points
- SAP Measuring Documents
- SAP Planned Maintenance Completion
For SAP Integration details, please view our article on SAP Integration. Tools to interact and align with these properties have been implemented into Orien v3.8. This article will guide you on how to use these tools and utilise your CMMS and SAP data within Orien.
SAP Functional Locations
SAP Functional Locations (FLOCs) are the object structures stored within SAP, much like the commercial entities or locations present within Orien. Once integrated with your SAP instance, you will be able to view your SAP FLOCs within the External Hierarchy. They will appear like the image below:
Using the same layout as other Orien areas, the folder icon will be replaced with a different symbol that is used to represent SAP FLOCs. Orien Locations can be created within SAP FLOCs alongside SAP Equipment, which is outlined in the next section, all of which will be treated as children and included within each SAP FLOC.
All available data will be displayed in the SAP FLOC's Location Detail, which can be viewed and edited to the user's specification. Each of the features available in Orien Locations are available for SAP FLOCs. For more details about the Hierarchy in Orien, visit our Understanding the Hierarchy article.
SAP Equipment
Stored within the SAP FLOCs is the SAP Equipment, representing the physical objects which are independently maintained and continuing to use the same hierarchy layout present within Orien. SAP Equipment is also represented with a new symbol, which can be seen in the below image:
Much like the SAP FLOCs, SAP Equipment will include all the data from your SAP instance once integrated, which can be viewed, edited, and is subject to each of the features you have learned to use within Orien.
SAP FLOC and Equipment Alignment
The External Hierarchy SAP Locations are a mirror of the SAP Plant Hierarchy Structure, provided that a SAP integration is implemented.
The External Hierarchy SAP Locations are updated automatically from SAP, and contain SAP-specific fields such as Functional Location Object ID. Therefore, data from the Working Area must be merged (not pasted) into the External Hierarchy SAP Locations.
The merge does remove the location from the source - the Working Area.
When aligning a single location or an entire structure between Orien locations and an External Hierarchy Structure, the process will be the exact same. There are several prerequisites that need to be met before the alignment process can be started. These are:
- The Functional Location in the External Hierarchy cannot have Tactics, Packaging, Criticality, Project Costs, Shutdowns, Operational Costs, Capital Items or Spares Analysis.
- The Functional Locations codes in the Working Area and their children must match the External Hierarchy Functional Location Codes

All Working Location's Codes must be populated, no blanks

All Working Area Location's codes must be unique, no duplicate codes
Errors
If you encounter any errors during this process, please view our Error Log for a solution and actions.
This process is as follows for aligning FLOCs and Equipment:

- Select the FLOC that you want to align to your existing Orien structure.
- Select Location Detail
- Select the Merge FLOC button on the Location Detail tab.
- Select the Orien Structure that you want to align to your selected FLOC.
- Read any warnings or errors that are shown.
- Select Proceed.
- View updated FLOC and Equipment structure.
You may need to wait for a few seconds and refresh the hierarchy to see the updated locations and their allocated modules.
To align a single Equipment to an Orien Component, follow these steps:

- Select the SAP Equipment that you want to align to your aligned FLOC/Orien Structure or a SAP FLOC with tactics manually created on.
- Select the Map To button on the Location Detail tab.
Note
Map To only shows Finalised Tactics' Components.
- Select the Orien Component that you want to align to your selected Equipment.
- Read any warnings or errors that are shown.
- Select Proceed.
- View updated FLOC / FLOC structure.
You may need to wait for a few seconds and refresh the hierarchy to see the updated locations and their allocated modules.
To align multiple SAP Equipments to Orien Components, follow these steps:
- Select the aligned FLOC that you want to align its components to SAP Equipment stored below that location. For example, the Selected Komatsu 830E contains the selected HV Alternator as it's included in the Komatsu 830E's expanded Hierarchy.
- Select the Hierarchy View Tab to View all the SAP FLOCs and SAP Equipment associated to the selected Location.
- Select the Auto Align button.
- A prompt will appear asking you how you'd like to align your Components and Equipment. An overview of the Alignment processes are:

- SAP Equipment Location Code to Meter Reading Code: The code on the SAP Equipment's Location Detail Tab to the Component's Meter Reading Code.
- Location description to Structure Node Description: The SAP Equipment Location Description to the Component/Structure Node's Description.

SAP Equipment Location code to Meter Reading Custom Field: The code on the SAP Equipment's Location Detail Tab to a Meter Reading Custom Field Value.

- Select which alignment method will suit you best.
- Check your progress in the Data Sync Tab.

Note
Initialisations can be run multiple times and are useful if the Delta schedule has been interrupted.
There are a few rules and restrictions utilised to retain data when SAP data is changed. The rules and their reasons are listed below:

- Alignment between FLOCs and Orien structures are connected through their Code fields (Functional Location Code vs Orien Location Code).
- The alignment process is treated as a move and not as a copy function. The aligned Orien location data will be moved to the External Hierarchy and will no longer be available in its previous location.
- The alignment process will align the selected location and all locations beneath it.
- The alignment process will not align to FLOCs with Orien data currently assigned. These locations will need all Orien module data deleted to be aligned.
- If a FLOC/Equipment has been deleted in the original CMMS e.g. SAP and Orien-specific data is allocated, then the data at the respective FLOC/Equipment will be converted to an Orien location to prevent loss of data.
Data Sync - Monitor your changes
The Data Sync Module contains most actions performed in Orien. For SAP Integrations it contains the following:
- Functional Location and Equipment alignments
- Any Daily/Delta updates from SAP
- Any Initialisation Process
- Other non-external Hierarchy/SAP functions
This can be found by navigating to the highest Hierarchy location
When viewing the Data Sync module, each Data Sync process is shown. Selecting View Messages on a record will show more details and about the Sync process. These messages often contain key metrics or any errors encountered during the process.

SAP Materials
The SAP Materials are stored within the Materials Configuration in Tactics Configuration alongside existing Orien Materials.

If Description, Part Number, Stock Codes, and SAP Material Plant match with existing Materials, they will be replaced with the SAP data, otherwise will be added to the list. Materials deleted from SAP will also be deleted from Orien. If the SAP material is reinstated in SAP, it will be reinstated in Orien - when reitinitalised or deltas are run.

SAP Work Centers
Business objects such as labours, assets, or places (production lines, assembly centers etc.) are the SAP Work Centers where operations are executed. Once integrated, the SAP Work Centers are stored in SAP Configuration, a new area at the top-level structure that contains the data from your SAP instance:
With SAP Work Centers integrated and stored in Orien, they can be allocated to each SAP FLOC or SAP Equipment through a new area in Packaging called Work Center Labours. For more details, please our article on SAP Integration.
SAP Measuring Points
The SAP Measuring Points that can be integrated into Orien describe a variety of conditions of both SAP FLOCs and SAP Equipment. The Measurements tab now has an additional section when in the external hierarchy which will contain the SAP Measuring Points.
Each of these Measurement Points will have a hyperlink to the location where it's stored alongside details of the Measurement Document associated. The SAP Measuring points will update the Meter Readings associated with the aligned component to its relevant SAP data. Measuring Points will be automatically set as Primary when there is only one Measuring Point available per Equipment.
Please ensure that these steps have been completed to view SAP Initialised or Delta data in Orien:
- Finalise Tactics.
- Set Measurement Point as Primary.
- Orien Component is allocated to SAP Equipment.

SAP Measurement Documents
The SAP Measurement Documents are closely related to SAP Measurement Points and can be described as the stored data after a measurement has been taken at a measuring point.
So instead of the SAP Measurement Documents being integrated with Orien at initialisation, they are updated through the Delta Process each time there is a change. These details can be viewed by selecting 'View Documents' of an SAP Measurement Point record.
Once selected, a window will show with the Document ID, Reading Date, Counter Reading, and Total Counter Reading associated.
SAP Planned Maintenance Completion
The SAP Planned Maintenance Completion dates can be found in the Operation Last Performed Dates tab within the Measurements Module. The data pulled from SAP will overwrite existing Orien's Operation Last Performed data in the External Hierarchy if:
- It's allocated at the correct Functional Location.
- The Maintenance Plan Code aligns with SAP.
- The Maintenance Item Code aligns with SAP.
- The Task List Group aligns with SAP.
- The Group Counter aligns with SAP.
- The Operation Number aligns with SAP.
- The Location's Packaging has been finalised.
- The Planned Maintenance Endpoints have been configured (Initialisations and Deltas).
- The Planned Maintenance Delta Scheduler has been configured (Deltas).
Note
If the Planned Maintenance data isn't showing on the Last Performed Dates tab, you may need to reinitialise Planned Maintenance
