Managing users and their permissions is vital to data security and governance processes. The Access Control module allows a specific user or users to add, update, or remove users from their site. This initial permission is allocated by Orien Support - and can be contacted by at support@orien.zendesk.com.
Access Control
When viewing the Access Control tab, a grid is shown of all users who have access to that site and their permission role.
A new user can be added by selecting Create New and entering their Email address. One or multiple roles can be allocated to a user. The user's permission is combination of the allocated roles.

The roles shown are available by default. Custom roles can be created and shown if required. Contact support@orien.zendesk.com for support in setting these up.
Once a user has been added, they can be edited or deleted. By selecting their email in the grid, the Edit and Delete can be selected.
Bulk changes can be performed via the Export function. The export contains a matrix of Email vs Permission roles. By marking the appropriate cells as Y, the permission role is granted to the user.
Note
If multiple database's users are being managed, the Export will contain multiple sheets. One for each database.
Work Groups
Work Groups are used to restrict users to specific Location/Folder structures. This means that while the entire database might have a variety of sections and different areas, users can be isolated to their specific areas. Multiple Work Groups can be allocated to multiple users, and a single user can have have multiple Work Groups allocated to them.
There are minimal inputs required to allocate a Work Group to users. The simple process is:
- Provide a name for the Work Group
- Assign one or more users to the Work Group
- Select one or more Locations for the Work Group
- There is a Hierarchy selection pop up when the '...' button is selected
When a user has a Work Group allocated to them, they will only see the areas they have access to and a 'Restricted Access' will be shown at the Database level to highlight this.
